Recently, I came across this thing known as Timeboxing. It is a way to boost your productivity by splitting up your day in time segments for each task. It is used by many of the most successful people in tech such as Elon Musk and Bill Gates. In this article, we will be covering what Timeboxing really is and how you can use it in your daily life.

What is Timeboxing?

Timeboxing is a productivity method that you can implement in your life. It is a great way to deal with procrastination and laziness. It is used by many of the top executives at many companies. It is extremely useful if you have a busy schedule and need to get things done.

When you set a 'timebox' you are basically just allotting that time segment to a specific task that you want to finish. This can be as small as 5 minutes to several hours. Doing this method also allows you to save a lot of time since it prevents you from overworking on a single task.

Soft vs. Hard Timeboxing

There are two kinds of Timeboxing. You got Hard Timeboxing and Soft Timeboxing. First lets talk about hard timeboxing. This is when you set a schedule for yourself and you stick strictly to it. You do not spend a single minute extra or less on a task. This is great if you are a perfectionist who gets distracted by the little details even after a task is done. Although the problem with hard timeboxing is that it isn't flexible and it is hard to adjust to unexpected events. It can also make you feel like a robot when you are sticking to a hard set schedule. That's where Soft Timeboxing comes in.

Now lets talk about Soft Timeboxing. Soft Timeboxing is a lot more flexible than Hard timeboxing. When you set a timebox, it is more of a suggestion for you to stop working rather than a hard stop. This is great for tasks that you are not sure how long they will take. It can help you more thoroughly complete a task as well. However, as mentioned before, this can also lead to you overworking and wasting time. It is a great idea to incorporate both hard timeboxes as well as soft timeboxes in you schedule.

How to Timebox?

Timeboxing is a skill like riding a bike or flying a kite. It can be learned. Here is a step by step guide that will help you learn how timebox successfully.

Step 1: Defining Your Tasks

This is the most important step of timeboxing. Take out a piece of paper or a google doc. What you want to do is write down all of the tasks you want to finish today and write how much time you think the task will take. Make sure to be realistic when writing down the duration of each task because you don't want to give too much or too little time.

Additionally, make sure to include time for things like social media, gaming, and other kinds of leisure. It is important that you make time for these kinds of things so that you don't get burnt out.

 Step 2: Setting goals

For each task that you list, you want to set goals for them. The goals must be meaningful as well as accomplishable. When you finish these goals, your brain releases dopamine and keeps you motivated. Setting goals is a great way you can stay on task and stay motivated.

 Step 3: Creating a Schedule

For this step, you want to take all of you tasks and create timeboxes within the day for them. Be sure to be thoughtful when you are making your schedule. You should probably also label the timeboxes as either hard and soft depending on the task. You can either do this on paper or on Google Calendar or some other calendar. Here is an example:

For this step, you first want to find a comfortable place to work that is free of distractions. Then, you want to start working. If a certain task seems to overwhelming, what you want to do is split the task in more manageable portions. If needed, you can split your timebox into even smaller timeboxes for micro-tasks. For example, Elon Must splits his day into 5 minute time segments to get things done. If an unexpected even comes up try to adjust your schedule so that you still get work done.

 Step 5: Review and Adjust

After, you are don with your day, make sure to reflect on it. See where you can make improvements in your schedule. If there are some tasks that took less time than you thought or vice versa, feel free to adjust you schedule. Likewise, if you feel to burnt out during any parts of the day, make sure to include breaks in your schedule. This is how you can make improvements on you timebox schedule.
